References on a resume: prepare contacts with care

A reference is a person who can discuss something they actually observed. Prepare that relationship before putting their contact details into an application.

Quick answer

Include references on a resume only when the application instructions or relevant context call for them. Otherwise, prepare a separate, current contact list to supply when requested. Choose people who know relevant work or learning, ask their permission and agree which contact details can be shared. Describe the relationship accurately. A reference is not a hiring guarantee, a replacement for evidence in the resume or permission to distribute someone’s private information widely.

Start with what this application actually asks for

Read the vacancy, form and messages from the employer. A request for reference contacts is different from a request for a recommendation letter or proof of employment. The first identifies someone who may be contacted; the others are documents with their own purpose. Do not substitute one merely because it is already available.

If references are not requested, decide whether contact details belong in this first submission at all. A separate prepared list keeps the resume focused on your evidence and avoids distributing another person’s details to every employer. Particular sectors or application forms may have specific requirements, so follow those rather than a universal rule that contacts must always be included or always omitted.

CareerOneStop’s reference guidance is an official US resource on preparing people for this role. It is not a rule for every country or employer. Our application documents guide covers the wider package; here the focus is a contact, their agreement and the scope of what they can discuss.

References on a resume: separate the list from the evidence

The resume should explain your relevant background and contribution even when no reference is available yet. A list of impressive names does not substitute for an accurate work entry. If the application requests a separate reference sheet, make one. If it requests fields in a form, complete the appropriate fields rather than relying on an attachment the process may not use.

A references available on request line is optional wording, not a credential. Consider whether it adds useful information in the actual application. Do not include it automatically just to fill a template. If the employer has already requested contacts, the sentence does not satisfy the request.

Keep a private master list separate from the selected version. Some people may be suitable for one kind of role but unable to discuss another area. Sharing every contact by default increases exposure without necessarily improving the evidence. Decide which agreed contacts fit this request and retain a record of what you actually supplied.

Choose knowledge of your work over an impressive title

A useful referee knows a relevant part of your work, learning or contribution. A supervisor may understand responsibility and reliability; a project colleague may have observed a specific collaboration. For an early career application, a tutor or placement supervisor may be appropriate if the employer accepts that kind of relationship.

Describe the relationship precisely. A tutor in a supervised course is not a former employer. A colleague who reviewed one project is not necessarily qualified to discuss every aspect of your employment. Someone senior who barely knows your work may have less useful information than a person with direct observation.

Check any constraints in the request. Some employers specify a type or number of references, a recent relationship or a particular contact route. If you cannot meet that requirement, ask whether an alternative is acceptable. Do not invent a work history, ask a friend to impersonate a supervisor or claim an agreement that has not been given.

Example one: ask a former supervisor without presuming agreement

In this fictional example, Nia is applying for a service coordination role. A former supervisor observed her handling appointment changes. Nia has an old email address but has not asked whether the supervisor is available or willing to act as a reference for this application.

Before: an announcement replaces permission
I have put your phone number on my resume and sent it to several employers. Please tell them I was excellent at everything and could lead their whole team.
After: a clear request with room to decline
I am applying for a service coordination role and would like to ask whether you would be comfortable acting as a reference. You supervised my work on appointment changes, which is relevant to the vacancy. If you agree, which contact details may I share with the recruiter? I can send the role description and my current resume for context.

Nia waits for an answer before supplying the details. She does not write the supervisor’s opinion for them or assume that an old contact method is still appropriate. If the person declines or does not respond, she needs another suitable option or a clarification with the recruiter, not a fictional confirmation.

Keep the selected resume and contact list distinct where appropriate.

Example two: an early career contact with a clear relationship

Leo is applying for an assistant role after a supervised textile course project. A tutor saw how he recorded sample changes. Leo has little employment history, and the recruiter has said a learning reference is acceptable. The contact entry should explain the tutor’s actual relationship to him.

Before: the relationship is upgraded
Senior industry manager and former employer. Can confirm extensive professional experience and independent responsibility for major client projects.
After: identify the observed setting
Course project tutor — supervised my textile sample documentation project in spring 2026. Can discuss my work recording changes and responding to feedback. Agreed professional email address to be supplied through the recruiter’s requested channel.

Leo would use the person’s real name and agreed contact details in the actual private submission; this public example deliberately contains none. The relationship does not become employment merely because the target role is professional. If the recruiter requires a former employer instead, Leo should ask about an alternative rather than relabel the tutor.

The relationship should make the person’s knowledge understandable.

Current employment and contact timing need a conversation

A current manager may know relevant work, but contacting them can reveal a job search you have not discussed. Do not assume the recruiter will wait simply because you prefer it. Explain the concern through the appropriate contact and ask what alternatives or timing arrangements the process allows.

Record any agreement accurately. A recruiter saying they will discuss the next step with you is not the same as an unconditional promise never to contact a person. If timing matters, clarify it before supplying the details. This guide cannot establish a contractual right, confidentiality guarantee or universal rule about when checks occur.

Keep questions about this particular process connected to the named recruiter rather than relying on assumptions from general advice.

Share the necessary agreed information, not a whole private record.

Prepare the selected document without spreading extra information

Once agreement and the request are clear, prepare only the relevant fields. These might identify the person, professional role, relationship and agreed contact method. Follow the specified format. Do not add home addresses, private numbers or unrelated personal detail merely because an old template contains a field for it.

CVura is our app. If working on the resume on a phone suits you, you can revise the document with CVura while deciding what belongs in that version. The app cannot obtain a referee’s permission, validate a relationship or guarantee how a recruiter will use contact details. A separate list and a basic editor remain complete alternatives.

Check the resume against the context you give the referee. They should see accurate dates and responsibility, not stronger claims than they observed. Our application organization guide helps retain the sent version and the stage at which a list was requested. Store agreement notes with care rather than publishing a master contact directory.

Final review: permission, relationship and the actual sent version

Before sending, verify that the person is still willing, the contact details are current and the relationship is correctly described. Let them know the relevant vacancy and likely contact context where appropriate. Share useful background, not a script telling them what they must say or a demand for a guaranteed positive result.

Before supplying references

  • The request is for contacts rather than a different document.
  • The chosen person knows relevant work or learning.
  • The relationship and period are accurate.
  • Permission has been obtained rather than assumed.
  • The contact method is current and agreed.
  • Any timing concern has been clarified with the recruiter.
  • Only necessary information is included.
  • The exact supplied list and application version are recorded.

After a process ends, a brief thanks can acknowledge the person’s time. For another application, check whether the agreement still fits instead of assuming unlimited future availability. References add a possible perspective on observed experience; they do not remove the need for truthful application evidence or guarantee an employer’s decision.

Frequently asked questions

Should references always be on the resume?

No universal rule applies. Follow the actual request. Otherwise, a separate prepared list can keep contact details out of routine initial submissions.

Is references available on request required?

Not universally. It is optional wording, not evidence or a substitute for contacts already requested by the employer.

Can I name a tutor?

If the process accepts a learning reference, a tutor who observed relevant work may be suitable. Describe that relationship honestly rather than calling it employment.

Can I use my current manager without telling them?

Ask permission before supplying details and clarify any job search confidentiality or timing concern with the recruiter. Do not assume a general article guarantees when contact occurs.

What if a person declines?

Respect the answer and find a suitable agreed alternative, or ask the recruiter what is acceptable. Never invent permission or ask someone to impersonate a supervisor.
